EXECUTIVE ASSISTANT
Job Description :
Key Responsibilities:
Calendar Management: Organize and manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements. Prioritize conflicting requests and ensure optimal use of the executive's time.
Communication Management: Act as a gatekeeper for the executive, screening and prioritizing emails, phone calls, and other forms of communication. Draft, review, and edit correspondence, presentations, and reports on behalf of the executive.
Meeting Coordination: Arrange and coordinate meetings, conferences, and events. Prepare meeting agendas, materials, and presentations. Attend meetings as necessary, take minutes, and follow up on action items.
Travel Arrangements: Plan and coordinate domestic and international travel arrangements for the executive, including flights, accommodations, transportation, and visas. Ensure travel itineraries are well-organized and cost-effective.
Information Management: Manage and maintain confidential information with discretion. Organize and maintain paper and electronic files, records, and documents. Conduct research and compile data as needed.
Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, vendors, and team members. Serve as a representative of the executive, handling inquiries and requests professionally.
Administrative Support: Provide general administrative support, such as expense reporting, invoice processing, and office supply management. Assist with special projects and initiatives as assigned.
Problem Solving: Anticipate challenges and proactively address issues to ensure smooth operations. Exercise sound judgment and problem-solving skills in resolving conflicts or unexpected situations.
