Job Description :

  • Key Responsibilities:

    1. Calendar Management: Organize and manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements. Prioritize conflicting requests and ensure optimal use of the executive's time.

    2. Communication Management: Act as a gatekeeper for the executive, screening and prioritizing emails, phone calls, and other forms of communication. Draft, review, and edit correspondence, presentations, and reports on behalf of the executive.

    3. Meeting Coordination: Arrange and coordinate meetings, conferences, and events. Prepare meeting agendas, materials, and presentations. Attend meetings as necessary, take minutes, and follow up on action items.

    4. Travel Arrangements: Plan and coordinate domestic and international travel arrangements for the executive, including flights, accommodations, transportation, and visas. Ensure travel itineraries are well-organized and cost-effective.

    5. Information Management: Manage and maintain confidential information with discretion. Organize and maintain paper and electronic files, records, and documents. Conduct research and compile data as needed.

    6. Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, vendors, and team members. Serve as a representative of the executive, handling inquiries and requests professionally.

    7. Administrative Support: Provide general administrative support, such as expense reporting, invoice processing, and office supply management. Assist with special projects and initiatives as assigned.

    8. Problem Solving: Anticipate challenges and proactively address issues to ensure smooth operations. Exercise sound judgment and problem-solving skills in resolving conflicts or unexpected situations.

Recommended Skills :

    • Bachelor's degree preferred, with relevant experience in administrative support or executive assistance.
    • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
    • Excellent communication skills, both written and verbal, with a high level of professionalism.
    • Proficiency in office productivity software (e.g., Microsoft Office suite) and familiarity with calendar and email management tools.
    • Discretion and confidentiality in handling sensitive information.
    • Adaptability and flexibility to work in a fast-paced environment and accommodate shifting priorities.
    • Attention to detail and accuracy in completing tasks.
    • Proactive attitude and willingness to take initiative.
    • Ability to work independently with minimal supervision and as part of a team.
