Executive Assistant to the Managing Director

Job Description :

  • Job Summary
    We seek a highly organised and proactive Executive Assistant to provide comprehensive support to the Managing Director. The ideal candidate will possess strong interpersonal and coordination skills, excellent communication abilities, and exceptional organisational acumen. They will play a critical role in managing schedules, coordinating tasks, and ensuring seamless operations in the Executive Office.
     

    Key Responsibilities
    1. Calendar Management
      • Plan, organize, and manage the MD's calendar, including scheduling meetings, appointments, and travel arrangements.
      • Prioritize and coordinate meeting requests while ensuring efficient time management.
    2. Follow-up and Task Coordination
      • Track pending tasks and follow up with internal and external stakeholders to ensure timely completion.
      • Prepare and manage daily task lists for the MD.
    3. Communication and Correspondence
      • Serve as the primary point of contact for the MD's office, managing communications and correspondence effectively.
      • Draft emails, reports, and presentations as required.
    4. Meeting Coordination
      • Organize and coordinate meetings, including preparing agendas, taking minutes, and ensuring follow-up on actionable items.
     
    1. Stakeholder Coordination
      • Collaborate with internal teams and external stakeholders to ensure smooth coordination and communication.
    2. Documentation and Reporting
      • Maintain and organize confidential files and records.
      • Prepare reports, presentations, and summaries as required by the MD.
    3. Event and Travel Management
      • Coordinate travel arrangements, including booking flights, accommodations, and itineraries.
      • Assist in planning and executing corporate events and meetings.
    4. Assist to the MD
      • Anticipate the MD's needs and provide administrative support as required.
      • Handle ad hoc tasks and projects efficiently.
     

    Key Skills and Qualifications
    • Master's degree in Business Administration or a related field (preferred).
    • Proven experience as an Executive Assistant or similar role.
    • Strong organizational and multitasking abilities.
    • Excellent interpersonal and communication skills (both written and verbal).
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Ability to maintain confidentiality and exercise discretion.
    • Strong coordination and follow-up skills.
    • Ability to work independently and manage multiple priorities effectively.
