    Job Description

    The "Operational Backbone" and "Infrastructure Continuity Anchor" of our corporate facility is the administrative executive (office operations, facility coordination, and procurement specialist). Your main responsibility is to oversee daily workplace operations, turning disorganized vendor records, disorganized facility requests, and disorganized office asset tracking forms into a highly efficient, secure, and well-functioning corporate environment. As the "Guardian of Office Infrastructure and Workplace Efficiency," you oversee front-desk hospitality workflows, manage corporate travel schedules, coordinate office maintenance, source facility supplies, and handle utility invoices.

     

    Responsibilities:

    Daily Facility & Office Operations: Keep an eye on the corporate office's maintenance and cleanliness, making sure that workstations, conference rooms, HVAC systems, power backups, and pantry areas continue to operate as intended.

    Vendor and Contractor Management: Monitoring service level agreements (SLAs) through communication with outside service providers, including housekeeping, facility security, catering, and equipment maintenance contractors.

    Procurement & Inventory Control: Oversee the entire purchase process for company assets, office supplies, pantry items, and IT accessories; get several estimates to ensure the best deal.

    Asset Management & Asset Tagging: Coordinate regular preventative maintenance and asset tracking procedures while keeping an extensive master ledger of all tangible business assets.

    Travel & Hospitality Coordination: Plan all aspects of business travel, such as scheduling flights, lodging, local transportation, and completing executive itineraries' visas.

     

    Skills:

    Facility Operations & Liaison Mechanics: Real-world experience overseeing cleaning procedures, managing office spaces, and communicating with local government agencies or building owners.

    Vendor Negotiation & Contract Management: Excellent ability to audit contractor performance, negotiate service criteria, and assess commercial vendor offers.

    Purchase request, purchase order (PO), invoice verification, and goods receipt notes (GRN) cycles are all clearly understood as part of the procurement lifecycle.

    Problem-Solving & Crisis Management: Excellent reactivity and poise to handle urgent workplace crises, such plumbing leaks, power outages, or security problems.
